  • They just went live with Workday Finance & HR
  • Really pleased about where they are now
  • They had a historic Colleague environment that was stuck with all of the sins (customizations) of the past
  • Starting Student implementation immediately
  • They delayed "go live" for Finance & HR by one quarter because of COVID complications
  • No big surprises, but needed to rework a lot of integrations (OKTA was challenging)
  • they still use ADP for tax statements because Workday doesn't do that!
  • They hired Alchemy as the project partner
    • also hired them for Change Management role because they
    • eventually reconfigured their PMO office to do Change Management
    • Not all parts of the administration were in alignment
  • Alchemy was contracted to do a lot of the integrations to other systems (interestingly)
  • Suffering in 3 areas:
    • Owning integrations (36 so far)
      • Some integrations by Alchemy
      • Some internally
    • Reporting
      • Hired a person who moonlights on reports from Wellesley (specializes in FInance & HR reports)
    • Post-production support
      • Ongoing demands of the system after implementation
      • major releases twice/year
      • continuing demand for implementation partner on an ongoing basis (it was a surprise for him).  ~$50k/year additional cost
      • staying on top of changing environment, testing, etc.
      • the demand for support does not seem to be slowing after "go live"
      • several 10s of thousands of dollars (5-10 hours a week times $250 rate)
  • They recently hired one person to be a Business Analyst to work with functional leads (workflow and process improvement)
    • remote employee in Chicago
    • he had a range of experiences in technology (programming, training) that work great together
    • did NOT have Workday experience
  • They got Adaptive Insights for no additional cost (but implementation costs will be $120K - $130K)
  • Purchase PRISM in Bundle but they don't have implementation hours planned for that (he didn't have a guess what it would be)
  • Trying to Build out Analytics and Reporting strategy now as they are finishing up implementation
  • They are moving from Alchemy to Workday implementation for student...
    • Workday does a survey to help you decide on a partner
    • Workday manages the partner relationship - and helps to hold them accountable
    • They think Workday will be a better partner for the Student System because the product is changing so much
    • you can walk away from a partner at any time.
  • Talk to Cindy Mitchell at Colby - they hired an outside project manager
  • Workday has changed their implementation plan (launch)
  • Their project had spaces for 3FTE @ $110/year each - because they had the PMO staff, they didn't need to use that in IT, but they will for the student implementation
  • They are trying to tap some of that for post-implementation support
